Summer Visitor Housing

Summer Program runs June 29 to September 7

Individuals, who are official adult guests of UC Davis who are either affiliated with the University of California or will be at campus on business, are invited to book nightly single accommodations in the UC Davis residence halls. Accommodations include three meals per day and lodging in non-smoking residence halls close to most university resources and facilities. Because space is limited, we encourage guests to reserve early.

2024 Rates 

The Gold Plan provides 3 meals a day in our dining commons, a single occupancy room, and linen package included. Linens included, are sets that are folded and placed on the bed. They include 2 sheets, 2 towels, 1 washcloth, pillow, pillowcase, and blanket (no bedspread or comforter). Housekeeping for rooms is not available during your stay, but guests may exchange towels daily at the conference housing desk.

Reservations

Reservation Form

To reserve accommodations, please complete and submit a Reservation Form. Reservations will be made on a first come, first served basis, and will not be guaranteed if payment is not received 5 business days before arrival date; rooms will be guaranteed only when full payment is received in advance.

NOTE: For departments on campus sponsoring guest through department funds, please contact our office at conferencehousing@ucdavis.edu for an internal campus reservation form.

Credit cards (Visa & MasterCard) will be accepted. All charges must be paid in US currency. 

After we receive your reservation form and payment, we will email you a confirmation of your reservation along with detailed arrival and check-in instructions. Reservations must be received at least 5 business days prior to arrival; reservation forms received on weekends or holidays will not be processed until the following business day.

Cancellations

To qualify for a refund, all cancellations must be made at least two weeks prior to the first reserved arrival date; a service fee of $25 will be deducted from the refund amount. A refund will be processed approximately four to six weeks after notification. Full payment will be forfeited if cancellation notification is not received at least two weeks prior to the first arrival date of the conference. Complete and submit a Personal Refund Request form (pdf) to request a refund.

Features

Accommodations are Standard Service: Linen, folded and placed on the bed, includes 2 sheets, 2 towels, 1 washcloth, pillow, pillowcase, blanket, and mattress pad (no bedspread).  Daily bed making is not provided during your stay. Linens can be exchanged at the Conference Service Desk.

Features include bike parking, large community spaces, and key card access to individual rooms. Each building has a television lounge, study lounge, and laundry room on the ground floor, as well as a lounge on each living floor. All buildings are air conditioned and carpeted.

UC Davis Information Technology has established a UC Davis Wireless Guest Access Account program in which a UC Davis faculty and/or staff member may sponsor temporary wireless accounts for campus guests. Please visit Wireless Access: Guest Access for complete details regarding guest access to the UC Davis Wireless Network. Contact the department you are visiting to have your guest account activated.

Wireless access has limited availability in guest rooms but is available in public areas such as lounges. 

Dining

Summer Visitor Housing fees include three meals per day in a specified Dining Commons; neither credits nor refunds will be granted for meals not eaten. All meals are served platform style with entrees changing daily. Full breakfast options are available each morning. The Grill is open for lunch and dinner, and pizzas are always available during both lunch and dinner service. Unlimited servings, a variety of specialty entrees and side dishes, salad, and dessert bars offer something for every palate. All meals are planned by a registered dietician and include balanced options for vegan and vegetarian guests; if you have specific dietary concerns, please talk to a dining commons manager. Our dining commons menu can provide you with additional information on current menu offerings. Dining Services, a part of Student Housing and Dining Services, provide food service for all residents. One dining facility is open during the summer; dining location could change during your stay depending on area occupancy. There is a replacement charge for a lost dining card.

When You Arrive

When you arrive, please check in at the conference desk located in your housing area. The desk closes at 11:00pm each night. We cannot accommodate arrivals after 11pm.

Keys

You will receive a key card upon check in that will unlock exterior building entrances as well as the door to your room; halls are locked at all times. Please be sure to carry your key with you and lock your door. If you are locked out of your room or building, you may check out a temporary key card from the conference desk or staff will escort you to your room. There is a replacement charge for lost or unreturned key cards.

Parking

  • Weekday parking on campus is by permit only
  • Weekend parking on campus is free, except during special events
  • Parking without a permit or in areas not designated on your permit may result in fines
  • Permits can be purchase through Aggie Park.
  • Service desk staff can arrange taxi or airport shuttle service for guests
  • Campus maps are available at your area service desk

Desk Services

Services available from desk staff include campus maps as well as maintenance and custodial assistance. Desks are staffed daily from 7am-11pm; after-hours assistance is available by calling 530-752-2900.

Mail

Incoming mail is held at the Tercero Desk Mail room this summer. Guests will receive email notifications. Mail is available Monday-Friday, 10am - 5pm, for pickup by the resident. Mail pickup is unavailable on the weekends and holidays. Mail should be addressed as follows:

During Your Stay

  • Linen can be exchanged at conference service desk
  • App operated washers and dryers are located within the community
  • A limited number of irons are available to check out from the conference desk
  • Guests are responsible for maintaining room or suite. Vacuum and cleaning supplies can be checked out at the area conference desk
  • Custodial services are provided in public areas

Checking Out Procedures

  • Dispose of excess mess in room or suite
  • Return furniture to original position
  • Guests are asked lock room doors and turn off air conditioning & lights
  • Report any damages or lost keys before or at time of check-out
  • Check out by 9AM to avoid late check-out fees
  • Upon check-out visit the conference desk to return keys

A checkout time of 9AM has been established for all guests to allow time to prepare for new conference arrivals. A late fee will be assessed for guests failing to check out by their designated checkout time. Arrangements must be made in advance if luggage storage will be needed; limited space is available. There is no charge for this service as space is not guaranteed. Guests departing before 7:00am should make arrangements with the desk staff the previous day.

Custodial Services

The residence halls are serviced by custodial staff who work daily to keep community spaces, public bathrooms, hallways, and stairwells clean and looking nice. Excessive messes caused by community members will not be cleaned by custodial staff, and residents may incur additional charges for such infractions.

Residents are responsible for the upkeep of their rooms. To help keep individual rooms and the community clean, residents can check out cleaning equipment and supplies at area conference desks — this is shared equipment that should be returned after each use.

Maintenance and Repair

Repair and maintenance issues should be directed to the conference service desk or on-duty staff for urgent repairs when the desk is closed. Maintenance staff are available weekdays from 8am-3:30pm and can respond to most requests within two working days; emergency repairs will be handled the same day.

Fire Safety

The residence halls are equipped with excellent fire detection and alarm system. Tampering with any of this equipment including fire extinguishers, heat/smoke detectors, or alarm boxes is strictly prohibited. When warranted, violators will be prosecuted and fined. At the sound of a fire alarm, all guests are required to leave the residence hall immediately and remain outside until the University Fire Department allows re-entry. As a fire safety measure, electric cooking appliances and candles are not allowed in the residence halls.

Upon checking into your room, please familiarize yourself with available exits and placement of fire alarm pull boxes. If you discover a fire, pull the alarm, and immediately leave the building through the nearest exit; do not use elevators in the event of an emergency.
